These terms and conditions apply to all purchases made through Poochini by Carla Tracy. By placing an order, you agree to the terms outlined below.
Commission Orders

All portraits are created from photographs supplied by the customer.

Customers are responsible for ensuring they have permission to use any photographs submitted for the commission process.

Clear, high-quality reference photographs will help achieve the best possible result. Guidance on selecting suitable photographs can be found in the Photo Guide.

Portraits are created in the artist’s individual style and are intended to capture the character and personality of the subject rather than provide an exact photographic reproduction.

Colours may vary slightly between digital screens, printed materials and the finished artwork.

Once an order has been placed, customers may be contacted to discuss reference photographs, composition, colour preferences or other details relevant to the commission.

Poochini Portraits reserves the right to decline a commission if suitable reference material cannot be provided or if the requested artwork falls outside the artist’s scope of work.
Approval & Revisions

Every commissioned portrait is individually created by hand and artistic interpretation forms part of the finished artwork.

Customers are encouraged to provide any information they feel is important about their dog, including personality traits, favourite accessories, distinctive markings or special details they would particularly like represented within the artwork.

Where appropriate, a progress image may be provided during the creation process. At this stage, customers may request reasonable adjustments relating to important details, markings or likeness.

Requests for substantial changes to composition, pose, colour palette or reference photographs after work has commenced may not be possible and may incur an additional charge.

As each portrait is a bespoke piece of artwork, minor variations in colour, mark-making and artistic style should be expected and are part of the unique nature of the finished piece.
Availability
Poochini reserves the right to pause, limit or decline commission bookings at any time.
Availability may vary throughout the year and estimated completion times may be extended during particularly busy periods.
Payment - Commissions
Full payment is required at the time of ordering unless otherwise agreed in writing.
Work on a commission will not begin until payment has been received and all required reference photographs and information have been supplied.
Commission prices are displayed in GBP (£) and are subject to change without notice. Any price changes will not affect commissions that have already been ordered and paid for.
If a customer wishes to make changes to the agreed commission specification after work has commenced, additional charges may apply depending on the nature of the request.
Customers are responsible for any customs duties, import taxes or additional charges that may apply to international orders. These charges are not included in the commission price or shipping costs.
Where a refund is applicable, it will be processed using the original payment method wherever possible.
Delivery - Commissions
As each portrait is created by hand, completion times will vary depending on current workload, portrait size and complexity.
Estimated turnaround times will be provided at the time of ordering or shortly afterwards. While every effort is made to meet these estimates, completion dates cannot be guaranteed.
Customers will be notified when their portrait is complete and ready for dispatch.
Finished artwork will be carefully packaged and shipped using a tracked delivery service where available. Tracking details will be provided once the order has been dispatched.
Customers are responsible for ensuring that the delivery address supplied at the time of ordering is accurate. Poochini Portraits cannot be held responsible for delays or losses resulting from incorrect address information.
International customers may be subject to customs duties, import taxes or other charges imposed by their local authorities. These charges are the responsibility of the customer and are not included in the purchase price or shipping costs.
If artwork arrives damaged during transit, customers should contact Poochini Portraits within 48 hours of delivery and provide photographs of both the artwork and packaging so that an appropriate resolution can be arranged.
Payment

Shipping & Delivery

Each portrait is created by hand and turnaround times will vary depending on current workload and the complexity of the commission.

As each portrait is created to order, completion times may be longer during
busy periods such as Christmas.

Estimated completion times will be provided when your order is confirmed. While every effort is made to meet these estimates, completion dates cannot be guaranteed.

Once finished, artwork will be carefully packaged and dispatched using a tracked delivery service. Tracking information will be provided where available.

Customers are responsible for ensuring that the delivery address supplied at checkout is correct. Poochini Portraits cannot be held responsible for delays or losses resulting from incorrect address details.

Please note that delivery times provided by postal and courier services are estimates only and are outside of our control.

If your artwork arrives damaged during transit, please contact us within 48 hours of delivery and provide photographs of both the packaging and the artwork so that we can assist in resolving the issue.

Customers outside the United Kingdom may be subject to customs duties, import taxes or other fees imposed by their local authorities. These charges are the responsibility of the customer and are not included in the purchase price or shipping costs.
Returns & Refunds
The following return and refund policies apply to original artwork, fine art prints and custom portrait commissions.
Original Artwork

If you are not completely satisfied with your purchase of an original artwork, you may request a return within 14 days of receiving your order.

Artwork must be returned in its original condition and packaging. Return shipping costs are the responsibility of the customer unless the artwork arrives damaged or incorrect.

Refunds will be processed once the artwork has been received and inspected.

If your artwork arrives damaged during transit, please contact us within 48 hours of delivery and provide photographs of both the artwork and packaging.
Fine Art Prints

Returns for non-personalised fine art prints are accepted within 14 days of delivery.

Prints must be returned in their original condition and packaging. Customers are responsible for return postage costs unless the item is faulty, damaged or supplied incorrectly.

Refunds will be issued once the returned item has been received and inspected.

If your print arrives damaged or defective, please contact us within 48 hours of delivery with photographs so that a replacement or refund can be arranged.
Custom Portrait Commissions

Due to the personalised nature of commissioned artwork, portrait commissions cannot be returned or refunded once work has begun.

Custom commissions are exempt from the standard 14-day cancellation period under the Consumer Contracts Regulations, as each piece is created specifically for the individual customer.

If you wish to cancel your order before work has commenced, please contact us as soon as possible. Refunds may be issued at our discretion where no work has yet been undertaken.

If your completed artwork arrives damaged during transit, please contact us within 48 hours of delivery and provide photographs of the damage and packaging so that a suitable resolution can be arranged.

The purchase of an original artwork, fine art print or commissioned portrait does not transfer copyright ownership. Copyright remains with the artist at all times.

Artwork may not be reproduced, copied, distributed, published, scanned, modified or used for commercial purposes without prior written permission from Carla Tracy.

Poochini Portraits reserves the right to photograph, reproduce and display commissioned artwork, original artwork and prints for promotional purposes, including use on this website, social media platforms, portfolio materials and marketing communications.

If you would prefer your commissioned artwork not to be shared publicly, please contact us before work begins and we will do our best to accommodate your request.

Any unauthorised use, reproduction or distribution of artwork or website content may result in legal action.
Sharing Artwork & Website Content
Sharing artwork from this website on social media, blogs or other non-commercial platforms is welcomed, provided appropriate credit is given to Carla Tracy and a link back to the original source is included where possible.
Artwork, photographs, website content and images may not be reproduced, altered, published, distributed, sold or used for commercial purposes without prior written permission.
If you would like to feature artwork, images or content from this website in a publication, article, exhibition, marketing campaign or commercial project, please get in touch to discuss licensing and usage permissions.
